Support Services Coordinator: The Peninsula Community Foundation of Virginia (PCF)
Location:
PCF offices, 48 West Queens Way, Hampton, VA
Terms:
Part time, contract position, one year contract with option to renew based on performance and Foundation needs; average of 20 hours per week
Salary/rate:
$20 an hour/ or mutually agreed-upon flat fee for full scope of work over the contract period
Position Requirements:
In-office administrative role, with occasional option to work remotely with the approval of the CEO; supports all four members of the Foundation leadership team with direct report to the CEO. No out-of-region travel – occasional in-region travel, and evening hours, for meetings and events

The Support Services Coordinator is a vital part-time role that provides critical administrative support to the CEO and the leadership team. This position will streamline daily operations, enhance communication, and contribute to the Foundation's visibility and outreach. It will play a key role in enabling the team to focus on donor relations, community partnerships, and strategic growth.
Responsibilities:
Administrative -
- General office support and management: Manage day-to-day office operations, including scheduling, phone triage, document preparation, errands, mail handling, and supply ordering
- Executive Support: Provide comprehensive administrative support to the CEO, including meeting preparation, correspondence, travel arrangements, and HR support (payroll, IRA distributions, etc.)
- Board support: Coordinate board and committee meetings (in-person and virtual), manage board communications, maintain board documents, and prepare meeting minutes
- Financial Support: Assist with annual audit preparation, bank deposits, and administrative needs related to the grants program
- Data Management: Maintain accurate donor and contact data in the Foundant database, collaborating with the Director of Grants and Fund Management
- Operations: Coordinate facility maintenance, vendor relations, and equipment upkeep; office hospitality, meetings and events
- Program and project support: Provide administrative support for key programs, including Impact 100, Give Local 757, PCF Scholarship Program, The Center for Community Research, and the Children's Holiday Fund
- Social Media Management: Assist in scheduling content for social media platforms (Facebook, LinkedIn, Instagram, etc.) to enhance brand awareness and engagement
- Email Marketing: Support the distribution of email newsletters and marketing campaigns
- Digital Content Assistance: Support the maintenance of website content and digital marketing materials
- Events: Assist with marketing efforts and registrations for events
- Online Research: Conduct research on marketing trends, foundation/nonprofit best practices, and national and local nonprofit landscape data
Candidate requirements:
- Bachelor’s degree preferred
- Strong organizational and time-management skills, with the ability to manage multiple projects simultaneously
- Minimum 5 years of administrative/support experience preferably in a nonprofit setting
- Excellent oral and written communication skills
- Proven success in interfacing with leaders from all business sectors
- Proficiency in Microsoft Office Suite, Google Workspace and database management – experience with “Foundant” (the Foundation’s database) is a plus
- Experience in navigating and managing digital communications and online research is highly desirable
- Familiarity with social media platforms (Facebook, LinkedIn, etc.) and email marketing tools
- Ability to work independently and as part of a team
- Ability to travel in-region and to work evening hours for events, on occasion
